Transactions

Transactions can be recorded in different ways.  The Sales part of the system will record transactions when a bill is created. The salary system will record transactions when booking process is selected  You can also request the transaction record from the bank in Registration>Request transactions. Another way is to enter the record manually in Accounting > Registration > Transactions.

There is no limit for the amount of transactions that can be recorded in a transaction and they will all appear in the transaction registration form.  In the transaction record table, each entry can be changed, copied or deleted. It is not allowed to change or delete transactions which origins from other systems and also not transactions on closed vat periods.
When entries have been recorded and they are balance and correct (debit and credit have the total amount of 0), you can click the yellow Confirm button appear in the status column to confirm the record. The correct entry will then disappear from the transaction journal.  If the entry is not balance, you can still “Save as unfinished” and the status of the entry will be marked with a red icon. This entry will not display in any financial statement or queries.

Even after the transaction has been confirmed, it can still be changed in the Transaction journal table if it does not belong to a closed period (regarding how to open and close period, please refer to chapter 25 in this manual). If an entry is registered that belongs to a processed Vat period, the system will require the user to fill in a correction report for the Vat.
You can modify any existing entries by clicking the Undo voucher (for confirmed entry) or Change voucher button and then the entry will show in the transaction registration (transaction record) again. In the transaction journal list all unconfirmed entries are displayed, including incorrect entries, correct entries without confirmation and bank entries.
If UNselect the Unfinished check box, all entries will be displayed in the transaction journal.
If company has defined dimensions in Admin > File administration > Dimensions control, new fields for dimensions will also be displayed.

Registration through form

To register through form, please firstly navigate to Manuals and user settings. In item transaction registration in accounting you should select record registration form.
Registering transactions allows for registration of both debit and credit entries into to one transaction.  
The system will automatically divide it into two separate debit and credit transactions.  If an account key includes Vat, a third transaction will be created automatically.

Date
By default the entry gets the date when it was created, but a date can also be entered or selected from calendar.

Debit account key
The debit account key the transaction should be recorded with. The account key can be choosen from the account key tree on the left side. You can also search for the key by clicking the glasses next to the field. You can enter a part of key or key name and then the system will be display a list of possible keys or automatically enter into the field if only one match was found. When a key is entered, its name will be displayed on the right of the field. You can click this icon to copy the key that was entered for the last registration:

Credit account key
The credit key the transaction should be recorded with. The above description of debit account key (7.1.2) applies to the credit account key as well.

Amount
This field shows the transcription amount. When an amount is entered, the VAT will be calculated if applicable and displayed in the field, Amount VAT.

Amount VAT
The calculated VAT will be displayed here. If the account key's VAT group allows overwritten, the VAT amount can be changed here. Even though the VAT group does not allow overwrite, it is always possible to change the amount VAT by + 2kr. for rounding purposes.

Description
This field shows the description of the entry. An account key may have a default description text and such description will appear here. The text can be changed.
You can click this icon to copy the last entered description into the current description field:

SSN (social security number)
This field is used as a reference to customer SSN. An account key may require this field to be filled (e.g. an account key for contracted service). You can search the customer list by using SSN and clicking the glasses icon:

You can also search the employee list by clicking this icon:

Account no.
This field is used as reference to account number. The Sales part of Regla will insert the retail account number into this field.

Reference
It is for notes other than SSN and account number.

Invoice date
It is used for creditor booking i.e. date of invoice is earlier than the payment date and can belong to former VAT period. By record the invoice date, the transaction and the credit transaction on creditor account key are recorded under invoice date and then debet transaction on creditor account key is booked under payment

Registration directly into grid

To register into grid, please firstly navigate to Manuals and user settings. In item transaction registration in accounting you should select record registration grid.
In this view the entries are registered into a grid entry by entry, but the system automatically creates the Vat entry if applicable.  
If no amount is entered into the amount in the last line of a transaction, the system will automatically calculates its amount to match up the transaction.

The entry registration occurs in the lowest line of the grid.  To confirm a registration, please click the plusbutton at the end of the line.  

To edit an existing line, you could directly click on the line and then enter the edit mode as shown below:

To confirm any changes, please click the checkmarkIconbutton at the end of the line.

You could copy any line by clicking the copy sign at the end of the line.
When editing a new line, the fields Account keyTextSSNAccount no. and Reference can copy information from the previously registered entry by double click the field or press the down arrow key when in that field.
The main difference between the two modes described in 7.1 and 7.2 is that you don't  have to enter both debit and credit key fields in the grid mode, but you have separate fields for debit and credit amount.
Besides, the Vat is not visible in the grid mode until the transaction is registered.
If company has defined dimensions in Admin > File administration > Dimensions control, new fields for dimensions will also be displayed.

Direct recording of input VAT

Direct record of input Vat is not allowed for account key 9520 which is used as payoff keys for VAT. The total amount should be recorded like all other purchase that has input VAT registered. However  you must register on account key that belongs to VAT group that allows direct recording of VAT, for example the key 2130.

When you use the account key 2130, the system will automatically create two transactions record. One is for account key 2130 and another is for account key 9520. Then you can modify the amount in the record of 9520 and the system will  modify the amount for the key 2130 accordingly.

When using „Record registration form“ the total amount should be registered in the „Amount“ field and then the „Amount vat“ field will contain 0. Then you should register the vat amont in the „Amount vat“ field.

Limitations of changing transactions

It is not allowed to change or delete transactions which origins from other systems and also not transactions on closed vat periods.

If you need to change those transaction you have to do it by creating new transactions. But still you are allowed to change description and reference fields in the transactions.

Transaction series

When registering transactions all registrations will be under transaction series 10.

Transactions which come automatically from other resources have their own transaction series. The following transaction series are used by the system:

10     Registered by hand

12     Sent from smart device

14     Transaction from csv file (import)

20     From sale system

30     Bank accounts

40     Credit card - Visa

50     Credit card MasterCard

60     Expenditure on interest income etc.

62     Borgun - Service fees and more

70     From salary system

80     Received eCommerce invoices

81     Purchase registration

90     Saldo transfer
