Employees information

Employees page will help you add or manage information of employees.  

The information includes employee‘s NumberNameUsernameNameAddressPhoneEmailLanguage and so on.  Fields marked with an asterisk (*) are mandatory fields.  

Searching specific employees by number or name is simple. You just need to enter full or part of number or name into the search field and click the Search button.  

If you leave all fields blank, all employees are displayed.

The search consists of a search field, a tick box and three buttons.

If a search criterion is entered into the search field and the Search button is clicked, the system will search for employees matching that search criterion.

If an employee or employees are found, a list of employees is displayed below the search area. On the right hand part of the screen it will show detailed information on the selected employee. If no employee was found, the system will enter into the edit mode. It will also automatically insert the search text either into the Number field or Name field according to the recognition of the text.

You can also enter the same edit mode by clicking the New button. The Clear button will clear both the search field and the results.

Basic information

Number
The number is used to identify each employee in the system and to ensure that the same employee is not registered twice.  

Email
The entered email address needs to be a valid one (i.e. id, @ sign and domain), for example, regla@regla.is.

Username
All access control in this system is conducted through the username. Therefore, it is very important that no two users have identical usernames (and it is not allowed in the system).  
To simply check if a username is available, the green check mark on the right of the Username field can be clicked.  

Next a small window will be displayed notifying if the entered username is available or not.  Since email addresses are unique it is recommended that the email is used as the username.

Comment
The Comment field offers a possibility to enter additional information for the employee. This comment is only displayed when the employee’s basic information appear.

Language
The Language field determines in which language the interface is displayed for the user. The language can be chosen from the Language drop down list.

Reset password
The password can be reset in the employee edit mode.
To reset an employee‘s password, the option Reset password should be checked and then the Update button clicked and then the new password will be sent via email to the user.

Foreign employee
If an employee does not have an Icelandic address, the appropriate country can be selected from the Country drop down list.  
When another country than Iceland is selected, the Zip code drop down list disappears and a City field (optional) is displayed instead.

Employee registration

 If the company has more than one department, a window is displayed when the employee is created to confirm the department the employee should have access to.

As shown in the following picture, the employee‘s departments are selected.

Next click on the Continue button, another window is displayed in which the employee‘s roles will be selected.  On the left side is the icon of the system and on the right side is the name of the system. To assign an employee to a role, you could hover the censor on the appropriate system and then a list of roles for that system will be displayed.  When a role has been selected for a system, the background color of the icon will change. The registration of the employee can only continued after a role has been assigned.
