Work groupcharging
The goal of the group charging is to make lending more powerful and faster. In a single round, you can select a group of customers, for a specific period, for charging.
- Customers
You can define the agreed amount and the maximum number of hours for each customer. Customers can therefore be of three types:
- Regular
- Billed according to recorded hours and product usage.
- Borrowing is done in the traditional way.
- Agreed amount
- Billed regardless of the number of hours logged.
- However, product use is billed as it is recorded.
- If nothing is recorded or the number is zero, it is considered that this should not be taken into account.
- Maximum number of hours
- Overtime goes on hold.
- However, product usage is billed as it is recorded.
- If nothing is recorded or the number is zero, it is considered that this should not be taken into account.
This registration is carried out by selecting the customer registration in the tab Work groupcharging. However, this tab is only visible if a logged-in user has access to the work diary system.
Here you can also choose not to display the unit price of a product on the account of a specific customer. This is especially useful in cases where there is an agreed amount. It is possible to change the amount to be debited during the disbursement process. The product used must be placed on the product line of the invoice where the agreed amount is involved. This product can be installed for everyone in controls (see later) or overwritten for individual customers.
- Controls
In the project accounting controls (Work diary > Admin> Control) there are several items related to work groupcharging.
- Work groupcharging always uses the latest price of a product (otherwise the price when a transaction was registered)
- If this is checked, batch checkout always fetches the latest price of a product in the product catalog.
- Do not show a discount separately on invoices from work groupcharging
- If this is checked, the discount is calculated on the unit price of the product line and it is not displayed.
- Text in a product line when referring to a fixed, agreed amount
- An explanatory text that appears on the accounts of customers with an agreed amount.
- Default product for agreed amount
- A product that is used in the product line of the customers who have an agreed amount. This product can be overwritten for individual customers.
- Summarize product lines by product/rate (work groupcharging)
- Time registrations are not displayed individually, but summarized in a product line for each one
- Groupcharging
Each session is delimited by a period and a customer category (or all customers). Each session is limited to registered time, registered products or agreed amount. If you choose to make a session for an agreed amount, you must select all customer categories and neither time nor products.
Groupcharging is created by clicking on the Request transactions button.
Click on a line to see the session breakdown:
- Out of standby: Entries that were not included last time.
- In standby: Entries that go on hold until the next period.
You can skip a customer completely or skip specific time registrations. If this is done, the respective transactions are put on hold until the next disbursement. Product transactions are not put on hold. The system remembers the last dates that were retrieved for a customer category, not unlike how retrieving transactions in a bank behaves.
By clicking on a line, all time and product registrations that belong to it are displayed.

That way you can take part of it with you. The rest goes on hold until the next disbursement.
If the agreed amount is registered to a customer, the information about what comes and goes is the pending amount, but not times. However, total hours worked are always visible.
- Requests
Batches can be viewed by selecting Work diary > Queries > Work groupcharging.
Invoices
When a work groupcharging is ready for withdrawal, it is sent to the subscription system and invoices are made from there. It is not possible to change the subscription transactions that come from groupcharging withdrawal.
